Summer 2003ArchivesArchival records contribute to campus exhibits Wisconsin Veterans Museum Presents Talking Spirits V: Forest Hill Cemetery Tour Records ManagementElectronic Records Forum materials soon to be available on the ARMS web site Changes Made to Open Records Law ArchivesArchival records contribute to campus exhibitsDocuments, photos, and artifacts from the University Archives have recently been on display as part of two exhibits. During the spring, the Archives contributed material to the exhibit Moving Lessons: Dance at UW-Madison, which was displayed in the Special Collections department in Memorial Library. This summer, archival holdings could be seen as part of the WHA: Oldest Station in the Nation exhibit in the lobby of Memorial Library. Wisconsin Veterans Museum Presents Talking Spirits V: Forest Hill Cemetery TourDuring this two-hour guided walking tour, view nine livinghistory vignettes featuring World War II individuals who are buried at Forest Hill Cemetery. Four UW individuals featured are: S. Zingale, a former professor of Art Education; J. Rosser, former professor and Director of the U.S. Army Mathematics Research Center; G. Orsini, former professor of Comparative Literature; and Carson Gulley; former supervising chef for UW residence halls. The vignettes for these individuals were prepared with material from the UW Archives. Date/Time: Sunday, September 28, 2003, 12:00-4:00 p.m. Tours

Location: Forest Hill Cemetery, 1 Speedway Road, Madison, WI Cost: $6 Adults, $3 Children For more information: 608-267-1799 Cataloging UpdateCathy Jacob, Program Assistant, is in the process of cataloging the holdings and entering these records into MadCat, the online library catalog for the University. It is hoped that this project will allow greater patron access to the Archives' holdings. Currently, the best way to conduct research in the Archives is to utilize one of the many finding aids available, and/or to consult with the Archives staff. Due to the staffing constraints of the Archives, the cataloging project is not expected to be completed for quite some time. However, new records are available to researchers as soon as they are entered, so doing a search in MadCat now will bring up all of the things that have so far been entered. Records ManagementNew ARMS Bulletin publishedARMS Bulletin #8, Off Site Records Storage: Considerations and Selection Criteria, is available from the ARMS web site. Off site storage can be an economical and efficient way to manage inactive records no matter whether they are paper or electronic. This Bulletin discusses basis records management considerations, criteria for selecting a vendor, and provides a worksheet for calculating costs and a checklist. In conjunction with the selection and use of an off site storage service, University departments are urged to review the Campus Policy on Off Site Storage available at http://archives.library.wisc.edu/rm/OffSiteStorage.htm. This Policy was endorsed by the Campus Records Review Group on June 11, 2003. The Policy discusses such items as: making sure that records have been properly appraised and scheduled before moving them off site, the role of ARMS, ensuring the preservation of permanently valuable University records. Electronic Records Forum Materials Soon to be Available on the ARMS Web SiteA new segment will soon be added to the ARMS web site that will provide online resources and guidance on electronic records management. Materials including handouts and presentations from the two Electronic Records Forums will be available via this web site. Changes Made to Open Records LawGov. Doyle has signed into law a bill that makes major changes in Wisconsin's Open Records Law. In the 1990s two major Wisconsin Supreme Court cases, Woznicki vs. Erickson and Milwaukee Teachers' Education Association vs. Milwaukee Board of School Directors, required public record keepers to notify employees if they planned to release records that could harm their privancy. But the Court was silent on establishing criteria for determining when privacy had been harmed. The new legislation creates a balancing process for public record keepers, requires public employees to be notified when records involving disciplinary matters are about to be released, requires that some records such as Social Security numbers not be released, and gives private sector employees under contract with the state the same opportunities as state employees to sue to stop the release of records pertaining to them. Identity Theft ResourcesThe State Enterprise web site, http://enterprise.state.wi.us/home/, has links to helpful information on protecting yourself from identity theft. There are links to the Federal Identity Theft Form, the Wisconsin Justice Dept. web site on identity theft, as well as a copy of Wisconsin's Identity Theft Act of 2003. Campus offices are reminded of the importance of having an up-to-date records retention schedule. The schedule provides a way to document a department's informational resources and permit their orderly management and disposition (including preservation of those items having long term or research value to the University).
