files is now available on the ARMS web site. Updates to this listing
will be made periodically. Future plans for this portion of the web site
include the addition of the subject file and department file indexes. Cataloging UpdateCathy Jacob, Program Assistant, is in the process of cataloging the holdings and entering these records into MadCat, the online library catalog for the University. It is hoped that this project will allow greater patron access to the Archives' holdings. Currently, the best way to conduct research in the Archives is to utilize one of the many finding aids available, and/or to consult with the Archives staff. Due to the staffing constraints of the Archives, the cataloging project is not expected to be completed for quite some time. However, new records are available to researchers as soon as they are entered, so doing a search in MadCat now will bring up all of the things that have so far been entered. ARMS Bulletin 7: Reproduction of University Records Using Digital Imaging Systems is now availableMany campus departments are asking whether CDs are appropriate for the storage of records. This Best Practices document discusses the issues surrounding the use of this storage medium and provides guidelines and recommendations to campus departments considering digital imaging of records. Read the HTML version or download and print the PDF version. Student Records ProjectThe development of a campus-wide general schedule for student records is now underway. This will be a lengthy and detailed process, but it is proceeding well. Interviews are currently being conducted with people in a variety of departments concerning the retention of student records, and a draft recommendation is expected to be completed by summer. Workshops to be offeredOn April 24, ARMS will offer a workshop entitled "Managing University Records: The Whys and Hows." This will be a practical workshop designed to provide instruction in the processing of writing retention schedules and using the State Records Center. Although dates have not yet been set, ARMS plans to offer workshops on managing personnel records over the summer. Watch the web site for further details of these and other workshops. Campus offices are reminded of the importance of having an up-to-date records retention schedule. The schedule provides a way to document a department's informational resources and permit their orderly management and disposition (including preservation of those items having long term or research value to the University).
