ArchivesArchives Week 2000 ExhibitA new exhibit "Main Street: University of Wisconsin" will be opening on October 22, 2000, in celebration of Archives Week 2000. The exhibit is located in the Archives at B134 Memorial Library. The theme of Archives Week 2000 is "Main Street: Building Wisconsin Communities." "Main Street: University of Wisconsin will feature an historical look at campus development by highlighting campus buildings. More information about Archives Week 2000 can be found at the State Historical Society of Wisconsin. http://www.shsw.wisc.edu/archivesweek/ Cataloging Project UnderwayCathy Jacob, Program Assistant, is in the process of cataloging the holdings and entering these records into MadCat, the online library catalog for the University. It is hoped that this project will allow greater patron access to the Archives' holdings. Currently, the best way to conduct research in the Archives is to utilize one of the many finding aids available, and/or to consult with the Archives staff. Due to the staffing constraints of the Archives, the cataloging project is not expected to be completed for quite some time. However, new records are available to researchers as soon as they are entered, so doing a search in MadCat now will bring up all of the things that have so far been entered. Records ManagementElectronic Records Management Administrative Rule AdoptedThe Wisconsin State Statutes Chapter 16.61 has for many years recognized "electronically formatted" documents as part of the definition of public records. In 1995, the Department of Administration was authorized to create an administrative rule to provide guidance to State agencies in the management of such public records. An interagency team was created to develop the rule in 1998, and it completed its drafting work earlier this year. After agency and legislative review, the rule has now been put in place. The rule provides a basic policy outline and specifies requirements state agencies must meet if they choose to retain public records in electronic format. Plans for education and training about the rule and implementing its provisions are being developed. State-wide Email Policy UpdatesState-wide Email policy originally approved in November 1997 has been updated to incorporate recommendations with regard to security and email messages. Further information can be found at http://enterprise.state.wi.us/static/security/securityhome.htm Workshop Series for 2000-2001A series of workshops for the campus community on a wide variety of topics is being finalized. Please check the ARMS web site for session descriptions and registration information. This year we are targeting specific types of records as well as specific audiences with the workshops. As more and more of the University's information resources are made electronic, it is important that we understand the records obligations that we have with regard to our records regardless of their format. This is a newly formed group resulting from the merger of the Wisconsin Data Administrators and the Wisconsin Records and Forms Council. WIRC's first report, Managing Wisconsin's Infoglut, is available at the following site. http://enterprise.state.wi.us/static/WIRC/ Deadlines and Campus Records Review GroupThe Public Records Board has not announced their meeting schedule for 2001, and therefore, the meeting schedule of the Campus Records Review Group has not been developed for next year. It is likely, however, that the deadline for submitting items for the first PRB meeting of 2001 will be mid-December. Those offices that are desirous of using the State Records Center for inactive records storage within the next couple of months and have not prepared records retention schedules to date should contact the ARMS office for assistance. As always, watch the web site for announcements of deadlines and meeting dates. Records SchedulesCampus offices are reminded of the importance of having an up-to-date records retention schedule. The schedule provides a way to document a department's informational resources and permit their orderly management and disposition (including preservation of those items having long term or research value to the University).
